Getting your new website up and running is like welcoming your customers to a stylish new building. You’ve made an investment in the construction and things are running smoothly, clients are finding and using your site to contact you, and you are proud of how everything looks and works.

With time though new and improved website features that can attract or engage clients become available, and parts of your site might begin to break down – not necessarily because there is something wrong with them, but because technology on the web moves so rapidly. Hackers love to find out of date websites and use them to send spam.

Rolling up your sleeves to fix the plumbing or the wiring of your website probably isn’t the reason you decided to open a business in the first place. Hiring a team to carry out the maintenance jobs not only lets you focus on your own work but ensures that things function as best as possible so that new and current customers arrive to an informative and secure environment.

A website maintenance plan can help you ensure that customers and prospects have a positive experience on your site and that you stay on top of security updates. It can be a valuable investment for your business or organization. Here are three ways a plan can contribute to your business.

1. Customer Experience

The last thing you want for your business is for customers or prospects to become frustrated when trying to find the information they need to make decisions. Changes to web browsers like Internet Explorer or Chrome, and changes to other websites can impact a users experience on your website. It is vital to be sure that when a customer clicks on a link it takes them to the desired place and its easy for them to read. (Have you come across any teeny tiny websites on your phone lately? In the last few years most websites were updated to be responsive, but there are still a few out there that try to squeeze the desktop view down onto a phone).

Oh, and don’t forget to update your content! Information in your industry may change rapidly and the data that you have on your website may become outdated sooner than you think. Regularly updating your content is a clear signal to your visitors (and search engines like Google) that your website is active and up to date. Ideally a maintenance plan will include a provision for content updates, in addition to the security and technology updates, so you can just email in your updates and the site gets update for you.

2. Sales Impact

Being able to get their questions answered is essential for your customers to take the steps to buy your products or hire your services. With a website maintenance plan your site should be continually monitored to ensure that it is up and running and to make sure that contact forms and other methods of contacting your business are working properly so that you do not lose any leads.

In the last week alone we’ve had 3 non-maintenance plan clients contact us about the following:

one client’s website had been down for 10 days and they hadn’t noticed (how many possible clients may have noticed though?). Their hosting company had made an update which broke their website.

a new client’s website had been shut down by their hosting provider because it was sending ‘phishing’ emails, and had hundreds a fake bank login pages hidden in a directory – their site had been hacked. When they realized the problem they found us by searching google for website maintenance

a third client’s shipping function on their website had stopped working when the courier updated their system. The client contacted us because someone had emailed them to let them know they couldn’t complete their purchase. They hadn’t received an order in 3 days and thought it must have just been the time of year

In all cases we were able to resolve the issues and get the sites back up and fully functional, but who’s to say how much business might have been lost? In the long run a small investment in maintenance will pay off for your business.

3. Security

Let’s face it, hackers out there are hard at work every day presenting us with increasingly complex new threats. They don’t even have to target your website specifically, but rather they run automated robots that scan the web looking for outdated code. Once they find a website they can use the robots then break into them and set them up to send spam or set up fake ‘phishing’ websites within your own site. Applying the latest security updates to your content management system (CMS) avoids leaving your website wide open to their attacks and ensures that your information, and that of your customers, is secure.

Whichever route you wish to pursue to keep your website in top shape, remember that the company that you choose to assist you is really an extension of your team, a specialized task force. It is there to free you up from having to remain vigilant over these details so that you can spend time with your clients and focus on what you do best: your business.

Still have questions?

Please feel free to contact us for more information or discuss your specific requirements. We offer website maintenance either on an ad-hoc basis or via website maintenance plans.

Convenience, security, performance.

One of the great things about working with WordPress is that there are plugins that allow you to optimize and customize how it works to best suit visitors to the website as well as site administrators.

At Swift Updates we’ve been creating websites now for nearly 20 years, and experience has shown us ways to make sites better all around – easier for site visitors and easier for website administrators. When we started specializing in WordPress a few years ago it was great to find that there were plugins available to help us customize sites just the way we would like.

These are our ‘go-to’ plugins – we don’t use all on every site, but you can be sure every site we launch has a good collection of them. All of them have a free version, and some have a paid pro version which usually adds additional functionality.

Visitor Experience

Site Performance

As you may know, every time a WordPress page is displayed to a website visitor all of the bits and pieces that make up the page are called up from the database (behind the scenes WP is saying: “ok, someone wants to see the home page. Get me the header, get me the footer, get me the copy from the middle of the page, go grab the images for the slide show: now put them altogether into a web page”). What caching plugins do is save that created web page for a period of time so that the next time someone views the page its already been created and can load much quickly. Depending on the site we typically use one of these two plugins:

WP Rocket

WP Fastest Cache

Image Sizes

Imagify
Great for image heave websites, imagify compresses/shrinks the files sizes of your images without losing quality, resulting in a faster loading website.

Social Media

Instagram, Facebook and Twitter Feeds by Smash Balloon
Great plugin that lets you add your social feeds to your website, keeping it looking fresh with new content and increase social engagement

Additional Functionality

The Newsletter plugin
The Newsletter plugin is a newsletter and email marketing system for WordPress. It bring functionality similar to what you’d find in Campaign Monitor or Mailchimp right into WordPress. With it you can create and send newsletters directly from the WP dashboard. It manages everything from user subscriptions to email automations, from follow up notifications to list building.

Admin Experience

Better Search Replace
Searching and replacing text in a Word document is easy, but doing it in a website where data is stored in multiple different database tables can be tricky – unless you have an awesome plugin like this one that allows you to select which tables to search (I usually just choose all) and has a ‘dry run’ option you can run first, so you can see what would be changed if you ran it for real.

Page Tree View
The standard list of pages in wordpress is one long list which while it does have some searching and sorting options isn’t always the most intuitive way to find a page. With the Page Tree View plugin the pages are shown hierarchically, so you can see your top level pages, which pages have sub pages, etc. It can be a very effective way to visualize and edit your site pages.

Duplicate page/post
Allows you to easily clone/duplicate any page or post, a fast way to create new content that will have similar content to a previous one.

WP File Manager
This plugin gives you access to the file system right through the admin interface. I wouldn’t say its a replacement for an ftp connection, but its very convenient.

WooCommerce
Something like 1 in 4 online shops use WooCommerce to power their websites. Out of the box its got lots of great functionality, and the are hundreds of plugins for it that allow you to connect to all kinds of other services. It makes creating and managing an online store simple, with reasonable levels of flexibility and several vital features such as inventory and tax management, secure payments and shipping integration.

Mailchimp for WordPress
As a stand-alone form or integrated to a WooCommerce shop, mailchimp is a great way to capture leads. One of the nice things about this plugin is it adds the “signup up to our mailing list” as a part of the shopping cart checkout.

WooCommerce Google Analytics Integration
This connects WooCommerce with Google Analytics, taking advantage of enhanced eCommerce event tracking.

A website is so much more useful when people – especially clients – can find it. These plugins help you to optimized the content of your pages and posts, and then connect it with Google Analytics so that you can get a full accounting of what people are doing on your website, how they’re getting there, what they’re looking at, etc.

Yoast
Takes care of all the technical SEO optimization you need for your site.

These days, many hosting providers (like Kinsta, Flywheel, or Canadian Web Hosting) provide security certificates at no charge, and there is little more to do than to click a button, but still there are many other providers that do not.

If you would like to apply a security certificate to your website, and they’re not included as with the above mentioned sites, here’s the general process required to install one.

You’ll need to purchase a certificate from a site that sells them. Your own hosting provider might sell them, and if so it might be easiest to buy directly from them, but if not one that we use is NameCheap, or if you google you can find plenty of sites selling ssl certificates.

Once purchased, log into your hosting account and create a CSR (certificate signing request). There’s usually a place in the control panel where this can be created, if not your hosting support can likely help.

Once created, apply the csr to the certificate where you purchased it (it’s basically a copy/paste from one site to the other)

The certificate site will then send out an approval request to the contacts on the domain record. This can sometimes be a bit tricky particularly if whomever registered the domain is no longer available, sometimes there are alternate ways to approve the request available as well.

Once the request has been approved, the certificate is made available. At this point it is essentially copied and pasted into your hosting account through the control panel.

The certificates have a limited life span, 1 or 2 years usually, so they need to be renewed regularly. The renewal process is usually a bit easier.

What is the cost to your business when your website goes down? Are you running a lead generation website, where if potential clients can’t find you you’re missing out on potential business, or are you running an ecommerce website and missing out on actual sales?

If your website is running on WordPress, good for you, it is one of – if not the most popular website platform in the world, with 1 in 3 website built on it. It’s also very well supported, with updates coming out all of the time. Some of these updates are feature updates, while others are bug fixes and security updates.

Here’s the thing though.

Because it is such a popular platform it is a bit of a target for hackers.

You might think – “why would anyone hack our website?” or “well, they’re not going to get anything if they hack my web site” – but in truth the hackers probably don’t care whose website they are attacking.

The most common thing we see is websites that have been hacked and are sending out spam or phishing emails. You see, the bad guys don’t actually want anything from you, they just want to use your website to run their scams.

Fixing a hacked site is one thing, and ideally it should be back up within a few hours, however longer lasting effects can take weeks to clear up. If your site was used to send spam you might find that – even though the site has been fixed – your valid email goes into peoples spam folders for weeks to come.

Here then are 3 simple things you can do prevent a website catastrophe.

WordPress and the plugin developers release updates frequently (multiple times a month). Every time an update is released there is a description of the change that goes along with it. The description might say something like “fixed security issue caused by code on line 123”.

All the bad guys have to do it watch the update logs, find things they can exploit (maybe that code on line 123 allows you to upload a file), and then scan the internet looking for websites that haven’t been updated – they don’t do this personally, they have robots that do this for them (code robots, not metal people).

WordPress has a nice and easy interface for updates, and it pays to keep an eye on it. You want to be careful when applying updates – sometimes they can change or break existing functionality. There’s usually a description of the changes that shows next to the update: it’s good to have a look at this before applying an update – and when in doubt test first.

We recommend checking the updates available at least once per month.

WordPress security plugins can do a lot to protect your site: from blocking multiple attempts to break into your website to scanning for modified files and folders. Most are free, some have a relatively inexpensive paid Pro option which can be worth it for greater peace of mind.

We use Wordfence on most sites ourselves, but there are other great security plugins out there like Sucuri and iThemes Security Pro.

No matter how protected you are, something can always happen, so it is important to have regular backups that you can revert to if needed.

They may be included with your hosting account, and/or there are wordpress plugins you can use as well to back up your site regularly and automatically.

We generally either have backups implemented at the server level, or we use Updraft Plus, but there some other great WordPress backup plugins available including Backup Buddy and WP Time Capsule.

We recommend logging into your website and checking its status at least once per month (this is what we do for clients on website maintenance plans).

During that time you want to check what plugins have updates available and apply them if wise/necessary; make sure your firewall plugin is running as expected (we’ve more that once come across a site that has the plugin installed but not active); and make sure your backups are running (successfully).

Got enough to do already? We take care of these tasks and more for clients on website updates and maintenance plans.

Don’t want to commit to a plan but want to have your site checked? We can do that too. Just last week we had a new client ask us to check and optimize their site’s security and performance. Send us a message through our maintenance page about what you’d like and we’ll get right back to you.
